Except as otherwise expressly agreed, Vietnamtours-online.com and its clients agree that the terms and conditions for the services rendered by our company, whether on an individual or on a tour basis, shall be governed by the Terms and Conditions set out bellow and that the said Terms and Conditions shall form an entire part of the service contract, whether verbal or written, entered into between Vietnamtours-online.com and its Clients.

Reservation and Confirmation
Reservations should be made via our online Request Form and sent it directly to our office in Hanoi. Upon confirmation of a reservation, a deposite of full amount for the airfare and 30% (thirty percent) of tour cost are requested. The rest of the payment for the total tour should be paid to Vietnamtours-online.com at least  30 days prior to client's arrival. Failure to comply may result in cancellation of the client's bookings without any refund of sums already paid to Vietnamtours-online.com by the client. Client may choose to pay the full price rather than a deposit, thereby avoiding a second transfer fee.

Cancellation
Vietnamtours-online.com reserves the right to levy cancellation fees when such charges are levied by suppliers, hotels, carriers, restaurants or any other contractors. Charges may also be levied at the sole discretion of us for planning, consulting and ancillary expenses etc. Cancellation charges would be effective from the date we receives client's cancellation notice in writing and would be applied as follows:

• From 30 working days prior to arrival date: 20% of total tour/service cost.
• From 15 working days prior to arrival date: 50% of total tour/service cost.
• From 05 working days prior to arrival or no show: NO REFUND of total cost.

There will be NO REFUNDS given for any unused or missed ground arrangements, sightseeing, meals or hotel accommodations.

• Infant (less than 2 years old) : free of charge
• Child under 12 years old sharing room with two adults without extra bed: charge 70 % of the tour price
• Child under 12 years old sharing room with two adults with extra bed: charge 80 % of the tour price
• Child under 12 years old sharing room with one adult: charge 90 % of the tour price.
• Airfare for children follows airline policy.

Payment
Payment can be made by cash, credit card or telegraphic transfer. Except for cash payment, a service charge may apply. Any bank charges levied by the sending bank relating to transfers to Vietnamtours-online.com must be paid by the Client. A surcharge of 4% will be applied to payment by credit cards. Service vouchers will be issued one week before the departure date.

Insurance
Clients are highly recommended to obtain personal travel insurance on their own since Vietnamtours-online.com will not be liable for any accidents, illnesses, thefts or losses occurring during their holidays. See Liability clause for detailed information.

Vietnamtours-online.com is committed to provide the Services to the best of its capacity and upon the satisfaction of the Client. However, acting only as an intermediary between its clients and airlines, hotels, transport operators and other contractors, we shall in no event be liable to its Client for any accidents, loss, injury, damage, death, delay as a result of any circumstances not attributable to the negligence of willful default of us including any act or event beyond the control of Vietnamtours-online.com and its contractors. We shall not be responsible and/or liable for additional expenses and/or damages incurred due to any delay, accidents, natural disaster, political action, unrest, strikes, acts of war or other force majeure.

Vietnamtours-online.com also reserves the right to to adjust the itinerary or to substitute hotels or to cancel a tour prior to departure in the best interest of its clients with or without prior notice.

Claims
All disputes, claims and litigation regarding the services will first be settled by way of negotiations and mutual understanding. In the event such negotiations and mutual understanding fail. The disputes, claims and litigation will be finally settled by arbitration of the Vietnam International Arbitration Centre (VIAC) at the Chamber of Commerce and Industry of the Socialist Republic of Vietnam. All claims must be submitted in writing within 30 days after the end of the services.
